Grace Services — Booking, Cancellation, Waitlist & Payment Policy By registering for services with Grace Services, a Texas-based 501(c)(3) nonprofit, you acknowledge and agree to the following policies. These terms apply to all services, including counseling, coaching, court-approved classes, DOT SAP evaluations, and outpatient programs. 1. Scheduling & Booking Appointments and class seats are confirmed only after full payment or required deposit. Certain programs (including court-ordered services and DOT SAP) require prepayment. 2. Cancellation & Rescheduling Individual Sessions: Cancellations must be made at least 24 hours in advance to avoid a late fee equal to the session cost. Classes & Multi-Session Programs: Cancellations made more than 7 days before the start date: eligible for refund minus any non-refundable deposit. Cancellations within 7 days of the start date: not eligible for refund but may qualify for course credit or transfer when available. No-Shows: Missed appointments without notice may result in forfeited fees and potential suspension of scheduling privileges. Emergency exceptions may be granted at Grace Services’ discretion. 3. Waitlist Policy Joining a waitlist does not guarantee a spot. When a seat becomes available, the client must accept and pay within 24–48 hours or the seat will be offered to the next person. 4. Payments & Refunds Accepted forms of payment include debit/credit cards, ACH transfers, and approved checks. Refunds are issued to the original form of payment when possible. Clients agree to contact Grace Services first if they have billing concerns so we can resolve issues quickly and avoid unnecessary disputes. 5. Returned Checks & Failed Payments A returned or dishonored check will incur a $30 returned-check fee (maximum allowed by Texas law). Clients must immediately repay the original amount plus applicable fees by cashier’s check, money order, or approved electronic method. Unresolved returned payments may result in suspension of services and collection activity permitted by law. 6. Chargebacks, ACH Reversals & Disputed Payments Initiating a credit card dispute (chargeback) or ACH reversal may lead to temporary service suspension until the matter is resolved.
